Privacy Policy

1. Scope

This Privacy Policy describes how Kaizen AI Systems Inc. ("Kaizen", "we", "us"), a Delaware C-Corporation headquartered in Austin, Texas, collects, uses, and shares information about individuals and organizations who visit www.kaizenaisystems.com, interact with our marketing materials, and use our APIs, SDKs, and developer tools.

2. Information We Collect

We collect information you provide directly (account details, business contact information, API key labels, support messages), information generated automatically (API usage metrics, logs, device/browser metadata), and service content you submit (schemas, prompts, telemetry, and encrypted database connection credentials used for Akuma integrations).

3. How We Use Information

We use data to operate and improve the Services, provide support, monitor abuse, debug performance issues, and develop new features. Aggregated or anonymized metrics may be used to improve product quality. We do not sell customer data.

4. California Privacy Rights

If you are a California resident, you may request access to categories and specific pieces of personal information we collect, request deletion, and request correction of inaccurate personal information, subject to legal exceptions. To exercise these rights, email privacy@kaizenaisystems.com. Kaizen will verify your identity before completing the request and will respond within 45 days (subject to extensions permitted by law). Kaizen does not sell personal information or share personal information for cross-context behavioral advertising.

5. Third-Party Processing

We rely on third parties to deliver the Services: Vercel (frontend hosting), Render (API hosting), Supabase (database + storage), and OpenAI or other LLM providers (Akuma inference). If and when we enable a separate authentication provider, we will update this section. Each processor receives only the data necessary to perform its role. We will provide notice of material sub-processor changes by updating this policy and posting an effective date before the change takes effect.

6. AI Model Data Use

To provide AI features, Kaizen may send prompts, schema metadata, and related request context to third-party model providers for inference. Kaizen does not use customer prompts, schemas, or API payloads to train Kaizen-owned models. We do not authorize third-party model providers to use customer content for model training unless you explicitly opt in in writing. 7. Data Retention

API request logs are retained for up to 90 days. Prompt/query history and generated metadata are retained for up to 180 days unless you request earlier deletion. Stored encrypted database connection credentials are retained until you remove the integration or your account is terminated. Account and billing records may be retained as required by law.

8. Your Choices

You may request deletion of your account or specific data sets by emailing privacy@kaizenaisystems.com. You can opt out of marketing emails via unsubscribe links. If you disable cookies or client storage, parts of the marketing site may not function properly.

9. Security & Breach Notice

We implement access controls, encrypted transport, encryption at rest for stored credentials, and least-privilege practices appropriate for a pre-production service. If we become aware of a confirmed security incident affecting your personal information, we will notify impacted customers without undue delay and, where feasible, within 72 hours, subject to legal and investigatory constraints.

10. International Transfers

The Services are operated from the United States. Where required, Kaizen will rely on applicable transfer mechanisms (such as standard contractual clauses) for cross-border transfers of personal data.

11. Children

The Services are intended for business and developer use only. We do not knowingly collect information from anyone under 16. If you learn that a minor has provided us with personal data, contact us and we will delete it.

12. Updates

We may update this Privacy Policy periodically. Changes will be posted at www.kaizenaisystems.com/privacy with the effective date. Continued use after changes becomes effective constitutes acceptance.
